How we made interpreter needs easier to find

FROM THE WORK

Why language, accessibility and supported ways into care need to appear in everyday records and team decisions.

Digital access is sometimes treated as a choice between an online form and a telephone line. The real question is whether a person can explain their need, receive the right response and understand the next step, whatever route they use.

At GP Pathfinder Clinics, interpreter needs were often recorded in free text, making them difficult for teams to find and use consistently. I developed searches and a coding workflow that added 8,355 language-specific interpreter codes. A reception check-in template also supported the capture of interpreter needs, digital access and reasonable adjustments during normal work.

The point was not to create a dashboard for its own sake. Better information can help staff plan communication and avoid asking someone to repeat a need they have already explained. But a code is only useful if the team knows what to do with it and the patient has a workable route to care.

For a first improvement project, follow a small sample of journeys across online, telephone and in-person routes. Check where information is lost, where staff have to improvise and where patients have to try again. Then test one change and ask whether it actually made the journey easier.
